is a growing healthcare consulting company providing quality assurance and operational support services to home health and hospice agencies nationwide. We are seeking a highly organized, proactive, and dependable Operations Assistant to support our internal team and clients.

Position Details

  • Position: Operations Assistant
  • Location: Remote
  • Schedule: Part-Time (approximately 15-20 hours per week)
  • Required Availability: Monday-Friday, 11:00 AM-3:00 PM Pacific Time
  • Compensation: $22-$30 per hour, depending on experience
  • Opportunity for increased hours and growth as the company expands.

ResponsibilitiesClient Onboarding

  • Coordinate and manage onboarding of new clients
  • Gather required documentation and information
  • Schedule onboarding and welcome meetings
  • Ensure a smooth transition for new agencies

Client Relations & Communication

  • Follow up on outstanding invoices and payment issues
  • Escalate client concerns and issues appropriately
  • Serve as a point of contact for operational questions
  • Maintain positive and professional relationships with agency clients

Operations & Team Support

  • Schedule meetings and coordinate calendars
  • Organize team trainings and educational sessions
  • Create and maintain Standard Operating Procedures (SOPs)
  • Monitor outstanding QA tasks and follow up with team members to ensure productivity and timely completion
  • Track agency QA needs and assist with workflow management
  • Assist with special projects and operational initiatives as needed

Qualifications & Skills

  • Excellent written and verbal communication skills
  • Exceptional organizational and time management skills
  • Ability to prioritize and manage multiple projects simultaneously
  • Strong attention to detail and follow-through
  • Comfortable holding team members accountable and following up on outstanding tasks
  • Strong problem-solving and critical thinking skills
  • Proficient in Microsoft Office and Google Workspace
  • Comfortable learning and utilizing new software and technology platforms
  • Experience with project management tools such as Airtable, Asana, Monday, or Trello is a plus
  • Experience with QuickBooks, including invoicing and payment follow-up, is a plus

Preferred Experience

  • Experience in home health, hospice, or healthcare administration
  • Clinical background (RN, LVN/LPN, CNA, Medical Assistant, or healthcare office experience) is a plus
  • Operations, project coordination, or executive assistant experience
  • Experience creating SOPs and workflows
  • Experience working in a remote environment
  • Familiarity with home health and hospice QA processes is highly preferred

Requirements

  • Must have reliable high-speed internet and a dedicated workspace
  • Must have availability Monday-Friday from 11:00 AM-3:00 PM Pacific Time
  • Must be authorized to work in the United States
