Job Description

Aspire Logistics | Hybrid | Hanover, Bowie & Washington, DC

About the opportunity

Aspire Logistics is an Amazon Delivery Service Partner based in Hanover, Maryland. Our business depends on strong people, disciplined operations, and the ability to adapt quickly.

Our owner is an entrepreneur seeking an exceptional executive assistant to help manage a growing company while researching and pursuing additional business ventures. This position offers direct exposure to business ownership, operational decisions, and the work involved in building and expanding businesses.

This role requires initiative, judgment, and ownership.

Responsibilities will evolve as business needs and opportunities change. The right person will function with the resourcefulness and follow-through of a chief of staff, taking on everything from detailed administrative tasks to research and project coordination.

What you’ll do

  • Own inbox management: Organize and prioritize emails, flag urgent issues, draft thoughtful responses, track commitments, and ensure important messages receive timely follow-up.
  • Manage scheduling and coordination: Maintain calendars, arrange meetings, coordinate locations and travel, and prepare relevant materials.
  • Research business opportunities: Investigate potential ventures, business leads, vendors, markets, and other topics; present clear findings and practical next steps.
  • Coordinate regulatory paperwork: Research requirements, prepare and complete forms, assemble supporting documents, and coordinate submissions and deadlines for owner review and authorization as needed.
  • Support payroll review and submissions: Review payroll information for completeness and discrepancies, coordinate corrections, and help ensure timely submissions.
  • Organize information and data: Build and maintain spreadsheets, trackers, digital files, contact lists, and systems that make information easy to find and use.
  • Write on behalf of the owner: Prepare polished emails, business correspondence, summaries, reports, and other documents with an appropriate tone and strong attention to detail.
  • Keep projects moving: Track priorities, follow up with stakeholders, identify obstacles, and drive assignments through completion.
  • Adapt as the business evolves: Take on unfamiliar assignments, learn new systems, and help bring structure to changing priorities.

Who will succeed in this role

You are highly organized, adaptable, discreet, and comfortable working directly with an entrepreneur. You can take a broad request, ask thoughtful questions, determine the next steps, and deliver a useful result without needing every step prescribed.

You must bring

  • Excellent writing, editing, and professional communication skills.
  • Strong Microsoft Excel proficiency, including formulas, data organization, reconciliation, and practical reporting.
  • Confidence using technology, learning new software, and improving workflows.
  • Sound judgment when handling confidential business, employee, and financial information.
  • Strong research skills and the ability to turn findings into concise, actionable summaries.
  • Careful attention to detail, particularly with payroll, forms, deadlines, and submissions.
  • The ability to manage competing priorities and remain effective when plans change.
  • A willingness to handle both routine administrative work and complex, open-ended assignments.
  • Relevant experience in executive support, business operations, project coordination, or a similarly demanding role.

Work environment and location

This is a hybrid position combining remote work with in-person collaboration. You must be able to travel to meeting and work locations in Hanover, Maryland; Bowie, Maryland; and Washington, DC, including flexible office locations such as Regus. In-person scheduling and work locations will vary with business needs.

This position is best suited to someone who enjoys variety, takes responsibility, and wants to help an entrepreneur build and grow. It will not be a fixed checklist of predictable duties.
