Job Description
Part-Time Executive Assistant (Independent Contractor)
Cincinnati Area/Northern Kentucky (local candidates required)
We're seeking an Executive Assistant to partner with a dynamic real estate investor and developer in streamlining operations and driving productivity.
What You'll Do
You'll begin by taking ownership of inbox and communications management, ensuring nothing falls through the cracks while the entrepreneur focuses on high-impact work. As trust deepens, your role will naturally expand to include strategic support, project coordination, and occasional personal tasks.
Who You Are
You have a track record of supporting C-suite executives or entrepreneurs, or you've managed projects that require close collaboration with senior leadership. Details matter to you, but you never lose sight of the bigger picture. You work independently, communicate proactively, and bring sound judgment to every decision.
Working Style
You'll have clear guidelines but also the autonomy to make judgment calls. We value competency and trust over speed, and a calm, professional presence. You're also comfortable:
- Managing up: keeping conversations on agenda and flagging upcoming deadlines and open items
- Turning ideas into action: the entrepreneur is a creative, big-picture thinker; you capture new ideas for later and keep focus on what matters now
- Switching gears: moving from a development contract to an event booking to a travel itinerary without missing a beat
- Closing loops: following up with third parties (and the entrepreneur) until every task is done, without being asked
Key Responsibilities
The role begins with core administrative support and expands based on performance and mutual trust.

- Make approved payments using the company credit card
- Review contracts and assist with signature coordination
- Send customized contracts using templates and form letters, with signature requests

Project Support
- Organize and manage documentation for real estate development projects, including permit tracking and project folders
- Coordinate with architects and other project partners
- Meet vendors on-site and coordinate property access
Scheduling & Travel
- Calendar management and meeting scheduling
- Plan and coordinate travel logistics, and maintain trip and budget spreadsheets
Technology & Social Media
- Manage business accounts and tools, including Google Workspace, GoDaddy, Wix, and 1Password
- Monitor company Facebook pages and use local groups to recruit trade contractors
