Job Summary We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines accurate financial record-keeping with efficient administrative support, ensuring smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will manage bookkeeping tasks using QuickBooks, handle administrative responsibilities, and provide exceptional customer service. Your proactive approach and strong office management skills will contribute to a positive and productive work environment. - Maintain accurate financial records by managing transactions using QuickBooks for multiple clients
- Perform data entry, invoicing, billing, and bank reconciliations with precision
- Provide exceptional customer support through professional phone etiquette and personalized assistance
- Manage electronic filing system
- Coordinate calendar management, appointment scheduling, and calendar updates for staff members
- Support office management tasks such as organizing meetings, preparing reports, and maintaining office equipment
- Assist with personal assistant duties as needed, including travel arrangements or special project support
- This is NOT and AR or AP position - you will be recording transactions, reconciling bank accounts and running financial reports. You will NOT be sending invoices or making payments on behalf of clients
- Creating spreadsheets for Journal Entries and having a continuous improvement mindset
Qualifications
- Proven experience with bookkeeping software such as QuickBooks is essential
- Past experience working for a CPA or bookkeeping firm is preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Previous office or clerical experience demonstrating organizational skills and attention to detail
- Excellent communication skills in both English and bilingual capabilities are highly desirable
- Familiarity with multi-line phone systems, front desk operations, and office management best practices
- Demonstrated ability to handle confidential information with discretion and professionalism
- Strong typing skills along with effective time management abilities to prioritize tasks efficiently
- Experience in customer service roles is a plus
- Knowledge of data entry, filing systems, proofreading techniques, and calendar management tools
