Job Description
*Location: Remote – Must live within 25 miles of Austin, TX*
Position Summary
The Administrative Assistant provides comprehensive administrative and operational support to the THLN leadership team. This role requires a highly organized, detail‑oriented professional who can manage multiple priorities, exercise sound judgment, and maintain strict confidentiality. The Administrative Assistant interacts regularly with the public, donors, volunteers, and government officials, and must demonstrate professionalism, strong communication skills, and a commitment to THLN’s mission.
The ideal candidate thrives in a fast‑paced environment, works independently with minimal supervision, and collaborates effectively within a small, high‑performing team.
Essential Duties & Responsibilities
Administrative & Operational Support
- Provide day‑to‑day administrative support to the leadership team.
- Compose, edit, and prepare correspondence, including confidential communications.
- Compile agendas, reports, and meeting materials as requested.
- Assist with accounts payable and receivable.
- Prioritize and manage multiple tasks, deadlines, and competing needs with professionalism and accuracy.
Event & Program Support
- Assist with logistical planning and coordination of events, meetings, and activities.
- Prepare printed materials for events, advocacy efforts, and legislative purposes.
- Track attendance and support event follow‑up tasks.
Database & Records Management
- Maintain donor and supporter databases, ensuring accuracy and data integrity.
- Add new donor/supporter records, manage tagging systems, and identify duplicate entries.
- Maintain organized digital and physical filing systems.
Mail, Banking & Errands
- Check the PO Box weekly and provide documentation to the Director of Operations.
- Deposit donation checks and other funds weekly.
- Run occasional errands, including picking up printed materials or other items as assigned.
Other Duties
- Support special projects and organizational initiatives as assigned.
- Uphold THLN’s mission, values, and commitment to ethical and humane advocacy.
Qualifications
Required
- High school diploma or equivalent; associate degree or higher preferred.
- Minimum 2–3 years of administrative experience, preferably in a nonprofit, advocacy, or legislative environment.
- Demonstrated ability to handle confidential information with discretion.
- Strong written and verbal communication skills.
- Excellent organizational skills with close attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with donor databases or CRM platforms.
- Valid driver’s license and reliable transportation for errands and legislative support tasks.
Preferred
- Experience supporting legislative, advocacy, or public policy work.
- Familiarity with nonprofit operations, donor stewardship, or fundraising processes.
- Comfort interacting with the public, donors, and elected officials.
Pay: $25.00 per hour
