Position Overview
The Executive Assistant to the CEO serves as a strategic partner and operational driver, supporting a fast-paced executive in an accounting consulting, professional training, and event management organization. This role goes beyond traditional administrative support—acting as a key liaison, problem-solver, and project manager to ensure the CEO’s time, priorities, and initiatives are executed efficiently and effectively.
Key Responsibilities
*Executive & Calendar Management*
- Own and manage the CEO’s complex calendar, including scheduling internal and external meetings, travel, and event commitments
- Anticipate scheduling conflicts and proactively adjust priorities
- Coordinate complex scheduling across internal and external stakeholders, requiring persistent follow-up and adaptability
- Coordinate all travel logistics, including flights, hotels, ground transportation, and itineraries
- Ensure a highly organized and strategic calendar structure, including color coding, priority alignment, and forward planning
*Strategic Support & Prioritization*
- Partner with the CEO to prioritize daily, weekly, and long-term initiatives
- Act as a gatekeeper for incoming requests, ensuring alignment with CEO priorities
- Field and triage urgent or disruptive issues with sound judgment
- Provide solutions independently when executive input is not required
- Quickly adapt to shifting priorities and adjust plans in real time with minimal direction
*Communication & Correspondence*
- Draft, review, and respond to emails, communications, and presentations on behalf of the CEO
- Serve as a professional liaison between the CEO and internal teams, clients, sponsors, and partners
- Ensure clear, timely, and aligned communication across stakeholders
*Meeting & Project Support*
- Prepare agendas, materials, and briefing documents for meetings
- Attend key meetings to capture notes, action items, and follow-ups
- Track and manage follow-throughs on CEO priorities using task management tools (Monday.com, etc.)
*Content, Marketing & Brand Support*
- Proofread and edit presentations, marketing materials, and written content for clarity, consistency, and accuracy
- Support marketing initiatives including timelines, content review, and coordination with internal teams
- Provide oversight on website updates and content accuracy
*Podcast, Media & Thought Leadership Coordination*
- Schedule and coordinate CEO guest appearances on podcasts and industry platforms
- Manage production scheduling and guest coordination for company-hosted podcasts
- Research and identify speaking opportunities at conferences, trade shows, and events
*Conference Support for Scaling New Heights*
- Support the CEO as needed in planning and execution for the company’s annual Scaling New Heights conference
- Serve as a point of contact between the CEO, sponsors, partners, and attendees
- Serve as one of two primary “host” team members supporting the CEO onsite, ensuring the CEO is prepared, on schedule, and present where needed throughout the conference
*Project & Operational Management*
- Independently manage special projects as assigned by the CEO
- Track key initiatives across platforms including Monday.com, Teams, HubSpot, and SharePoint
- Improve systems, workflows, and operational efficiency where possible
*Qualifications*
- Bachelor’s degree preferred
- 5+ years supporting C-level executives (experience in hospitality, events, training, or fast-paced environments preferred)
- Highly organized with exceptional attention to detail and follow-through
- Strong ability to manage and prioritize multiple tasks simultaneously without sacrificing accuracy
- Thrives in a fast-paced environment with constantly shifting priorities
- Proactive and highly responsive, with a strong sense of urgency
- Demonstrated persistence and tenacity in follow-up, particularly when coordinating with external stakeholders
- Enjoys and excels at calendar management, scheduling, and logistical coordination
- Comfortable supporting a fast-moving executive with high expectations and evolving needs
- Proven ability to anticipate needs and operate with a high level of ownership and initiative
- Strong organizational, time management, and problem-solving skills
- Exceptional written and verbal communication skills
- High level of discretion and professionalism
- Willingness to assist with occasional personal administrative tasks as needed
*Technical Skills*
- Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Task and project management tools (Monday.com or similar)
- CRM and communication platforms (HubSpot, Teams, SharePoint preferred)

Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
