Job Description
JPart-Time Medical Office Manager / Case Management Coordinator
Florida Injury Centers — Merritt Island, FL
$25 per hour | Part-time | On-site
Florida Injury Centers is a physician-led medical practice caring for patients injured in automobile accidents. We are seeking an experienced, hands-on professional to organize daily operations, coordinate patient and attorney communication, and ensure assignments are completed accurately and on time.
This position begins part-time, with the potential for additional hours based on practice needs and demonstrated performance. Work is performed in our Merritt Island office; this is not a remote position.
Responsibilities
- Coordinate daily administrative work and keep the physician informed of outstanding tasks, delays and decisions requiring attention.
- Contact attorney offices on new cases and maintain accurate attorney, case-manager and contact information.
- Document patient outreach, attorney conversations, requests, responses and next steps.
- Track missing documents, unresolved financial information and overdue requests.
- Coordinate with our outside billing agency to ensure timely billing, current account information and responses to attorney requests.
- Organize reduction requests and supporting documentation for physician review. No independent settlement or write-off authority.
- Oversee scheduling and administrative handoffs, with clear ownership and deadlines.
- Maintain shared worklists and provide concise daily progress and exception reports.
- Help implement practical written procedures and hold assigned work to completion.
Required qualifications
- Prior medical-office management or patient-coordination experience.
- Experience with automobile-injury practices, Florida PIP, letters of protection and attorney communication.
- Strong organization, professional telephone skills and accurate written documentation.
- Ability to identify problems, follow through independently and escalate delays promptly.
- Comfort using electronic medical records, Excel, Outlook and Microsoft Teams.
- Ability to work on-site in Merritt Island during agreed business hours.
Experience with Office Ally and outsourced billing coordination is preferred. A clinical license is not required; this is an administrative position.
What success looks like
Requests are acknowledged, each task has an owner and deadline, communications are documented, and problems reach the physician before they become prolonged delays. Sending a message or leaving a voicemail does not, by itself, complete an assignment.
To apply
Please submit your résumé and a brief response describing:
- Your experience in an auto-injury or personal-injury medical practice.
- Your experience communicating with attorneys and coordinating billing.
- Your available weekdays and preferred number of weekly hours.
- One example of how you corrected an administrative backlog or improved follow-through.
Compensation: $25 per hour. Initial weekly hours and schedule will be agreed upon before hiring.
Florida Injury Centers is an equal opportunity employer.
Pay: $25.00 per hour
Expected hours: 16.0 per week
Work Location: In person
