Job Description
Flexion Point
is seeking an energetic, highly organized, and proactive Executive Assistant to support our leadership team and help keep our growing professional services firm running smoothly.
This is not a position for someone who wants to sit back and wait for a to-do list. We’re looking for a self-starter who notices what needs to be done, takes ownership, follows through, and looks for ways to make our team and processes better. The right person will be upbeat, friendly, outgoing, detail-oriented, and comfortable interacting with clients, business leaders, vendors, and members of our team.
This is an especially great opportunity for a soon-to-be or recent college graduate who wants broad exposure to how a business operates. You’ll work closely with company leadership and gain hands-on experience across accounting, finance, HR, marketing, client service, operations, and business administration, while also interacting with professionals and decision-makers throughout the Central Arkansas business community.
What You'll Do
- Provide day-to-day administrative and organizational support to company leadership.
- Coordinate calendars, schedule meetings, and assist with meeting preparation and follow-up.
- Manage incoming and outgoing mail, correspondence, document preparation, and other office communications.
- Prepare and print checks and assist with other routine administrative accounting functions.
- Order office supplies and help ensure the office is organized, stocked, and running efficiently.
- Draft and format letters, correspondence, presentations, proposals, and other professional documents.
- Assist with preparing, distributing, tracking, and organizing client-related documents and agreements.
- Maintain organized records and help ensure important documents are completed, returned, and stored appropriately.
- Help coordinate client onboarding activities and internal handoffs.
- Conduct periodic client check-ins and help ensure questions, needs, and follow-up items are communicated to the appropriate team members.
- Assist leadership with tracking prospective client activity, upcoming opportunities, follow-ups, and other company initiatives.
- Help coordinate outreach efforts and maintain accurate contact and activity information.
- Support company marketing efforts, including social media, communications, events, and promotional initiatives.
- Plan and coordinate company events, meetings, networking activities, and other special projects, including venues, catering, invitations, materials, and logistics.
- Assist with light bookkeeping or accounting-related administrative work as needed.
- Identify opportunities to improve administrative processes, organization, communication, and efficiency.
- Jump in wherever needed and take ownership of special projects and other administrative responsibilities as assigned.
What We're Looking For
- An upbeat, friendly, and outgoing personality with strong interpersonal skills.
- A self-starter who is comfortable taking initiative rather than waiting to be told what to do next.
- Exceptional organization and attention to detail.
- Strong written and verbal communication skills.
- Professionalism and confidence interacting with clients, executives, and business leaders.
- Ability to manage multiple priorities and follow projects through to completion.
- Strong judgment and discretion when handling confidential information.
- Comfort learning new software, systems, and processes.
- An interest in understanding how businesses operate and a willingness to learn across multiple areas.
- A mindset of “How can I help?” and “How can we make this better?”
- Bachelor's degree completed or nearing completion preferred, although relevant experience will also be considered.
- Experience with Microsoft Office, Canva, bookkeeping/accounting software, CRM systems, or marketing tools is a plus, but not required.
