Job Description
About Pacific Business Partners
Pacific Business Partners is a consulting firm that supports business owners through every stage of their journey—from startup to growth and exit strategy. Our clients rely on us to help operate key parts of their businesses.
Many entrepreneurs are passionate about what they do but lack clear structure, financial visibility, or strategic direction. Our approach is holistic: we listen, ask the right questions, and develop strategies aligned with each client’s mission, values, and long-term goals. Simply put—we solve problems.
About the Role
Are you the person who keeps everyone’s calendar straight, never lets a follow-up slip, and quietly makes a busy week run smoothly? Do you love checklists, deadlines, and a clean inbox? If that sounds like you, we’d love to connect.
Pacific Business Partners is seeking a proactive Part-Time Executive & Personal Assistant to support our founder across Pacific Business Partners and several community and coaching brands she leads. This is a part-time, in-person position based in Long Beach, CA. Candidates must live within commuting distance of Long Beach.
This is not a typical front-desk role. You will be the person who knows what is happening this week, what is coming next, and what is falling through the cracks. You will manage the founder’s business and personal calendar, inbox, follow-ups, compliance deadlines, and events, and you will keep the work moving on days she is out speaking or meeting with clients. You will work side by side with a small, close team across bookkeeping, marketing, and community events.
The schedule is four 4-hour shifts, Monday through Thursday, starting around 9:00 AM. Shifts fit within school hours, which makes this a great fit for parents. Some Fridays, evenings, and weekends are required for community events, and those dates are shared in advance.
Success in this role requires strong organization, sound judgment, discretion, and clear, warm communication.
Primary Responsibilities
- Manage the founder’s business and personal calendar; confirm appointments and send a short daily rundown of the day ahead
- Triage multiple inboxes: sort, flag priorities, draft replies for review, and follow up until items are closed
- Monitor the company compliance calendar, including certification renewals, monthly reports, and filing deadlines, and flag items due 30, 14, and 7 days out
- Help department directors gather and organize data for reports and client deliverables
- Run payroll for Pacific Business Partners and assigned clients with a review step before submission (training provided)
- Support light invoicing and bookkeeping tasks with our accounting team
- Work new leads in our CRM: log contacts, send follow-ups, book calls, and keep the pipeline current
- Book travel as needed, including flights, hotels, and conference registrations
- Prepare for chamber events, workshops, coaching sessions, and community events; coordinate supplies, signage, sign-up lists, and follow-ups
- Keep files, contracts, and onboarding paperwork organized in Google Drive
- Run local errands as needed (mileage reimbursed)
- Keep the week moving when the founder is out: reschedule, update the team, and handle what can be handled
- Other tasks as needed
Qualifications
- Minimum of 2 years of experience as an executive assistant, personal assistant, or office manager supporting a busy owner or executive
- Comfortable with Google Workspace, Microsoft 365, and shared calendars
- Experience with Slack, GoHighLevel, QuickBooks Online, or Canva is a plus
- Payroll experience (ADP preferred) is a plus but not required; we will train the right person
- Event coordination or travel booking experience is a plus
- Bilingual (English/Spanish) is a plus
- Reliable transportation and a valid driver’s license
- Availability for some Friday, evening, and weekend events
- PC/Mac savvy and must have proactive and situational awareness
Professional Skills
- Excellent written and verbal communication skills; able to draft emails in the founder’s voice
- Highly organized with strong attention to detail
- Ability to manage multiple priorities and deadlines across several brands at once
- Reliable, resourceful, and proactive: you solve problems rather than report them
- Strong work ethic with integrity, discretion, and confidentiality
- Ability to work independently while collaborating with team members
- Willingness to learn, grow, and contribute to company operations
- Ability to pass a background check
