Job Summary

Little Roos is looking for a friendly, detail-oriented Administrative Coordinator to support our pediatric therapy team. This is a full-time, remote position that plays a key role in helping children and families receive consistent therapy services.

This is a computer-based administrative position that requires you to be actively working from your home office throughout your scheduled shift. The role involves frequent communication with families and therapists, managing schedules, coordinating insurance and documentation, and responding to real-time changes throughout the day.

Little Roos provides in-home and community-based physical, occupational, and speech therapy services to children throughout the greater Phoenix area. Since 2020, we've built a supportive, family-focused team dedicated to helping children thrive.

Position Details

Hours

Monday through Friday, 7:30 AM to 3:00 PM, including a 30-minute lunch break

Status

Full-time, W-2 employee

Location

Remote (Arizona residents only)

What This Role Is Like

Every day is different. A typical day may include:

  • Answering phone calls and text messages from families
  • Coordinating therapists' schedules and appointment changes
  • Communicating with therapists throughout their day
  • Responding to urgent scheduling needs
  • Coordinating insurance authorizations and documentation
  • Following up with doctors' offices for required paperwork
  • Switching between multiple computer systems while managing several conversations at once
  • Working closely with the administrative and clinical team to keep care running smoothly

This role requires someone who enjoys organization, can adapt to changing priorities, and takes pride in getting the details right.

Key Responsibilities

  • Answer phone calls and text messages during scheduled work hours
  • Schedule therapy sessions and manage calendar updates
  • Coordinate with therapists regarding schedule changes and availability
  • Support families with scheduling and ongoing communication
  • Manage insurance authorizations and related documentation
  • Request and follow up on physician paperwork
  • Maintain accurate documentation and communication
  • Collaborate with the administrative and clinical teams

Qualifications

  • Excellent verbal and written communication skills
  • Highly organized with strong attention to detail
  • Comfortable managing multiple tasks and priorities throughout the day
  • Able to carefully read information before responding or making scheduling decisions
  • Comfortable learning and using multiple computer programs
  • Able to work independently while knowing when to ask questions
  • Experience with scheduling or administrative work preferred
  • Experience in a medical office or with insurance processes preferred
  • Proficiency with Google Workspace (Gmail, Calendar, Google Chat, Google Drive)

Hiring Process

Candidates selected to move forward will first complete a brief phone interview. Candidates who continue in the process will then participate in a video interview that includes practical scheduling and organization scenarios similar to those encountered in this role. Final candidates will also complete a brief skills assessment and provide professional references.
